INTRO Hello and welcome. In this lesson, we’re going to introduce how tasks work and how you can use them to help manage your business. Let’s get started. With Platfio, your app includes a powerful customer relationship management system where, by default, your app is keeping track of all your users. You can use this information to manage your team by setting up tasks that they may need to do to manage the relationship with that user. These tasks can be added manually, but they can also be added using automations. EDITOR/EMULATOR When we go to the User Manager and select a particular user, we can see Tasks at the bottom. We can click the add button to add a task. Let’s give it a name (Follow up), select a priority, and assign it to a team member. We can also set a due date and press add. We also have the option to set subtasks if there are multiple steps to completing the work for this user and record notes that relate specifically to this task (Check In) and save. As we start assigning these different tasks to different team members or having tasks that are unassigned that our team members can pick up from a bucket when they have some extra bandwidth in their day, we can go and head into Tasks that’s accessible from the Manager. When we click on tasks, we can see all the tasks that are currently assigned to me, but we can head into the Unassigned tab to see all the unassigned tasks. We can then pick up these tasks and add them to our workflow. Finally, we can see all tasks such as my tasks, tasks assigned to other team members, and unassigned tasks in the All tab. If we click on a task, it will bring us to that particular task in the Task Manager. We can then modify the task, such as marking it as complete, assigning it to another team member, add or complete subtasks, etc. Let’s go ahead and this task to a team member, go back, and then we can see that this task has been assigned to me and I’m made aware that in eight days, I need to complete this task for this user. Alternatively, we can also click on this task, then mark it as complete and have it archived. As we can see, it has been removed from the Task Manager.

It’s extremely powerful to have this feature where we can manually assign tasks. We can schedule a task to follow up on a user or call them before their booking, schedule a task to give them a call after they’ve sent a chat message, schedule a task to give them a call to check in on how happy they were with their order, etc., and these can be done manually which is an important part of any customer relation management system.

But Platfio gives you even more power. If we go to Editor, Automation, and set up Automations that are triggered by certain events that happen in your app, we can automatically add tasks for that user.

We can connect Automations with any of the features in our app, then new tasks will be added in as unassigned, and our team members can pick up those tasks and schedule to have them completed. To learn more about Automations, check out our video on Automations.
